General Questions
Q: I want to get started, how do I get into the e-Biz site?
A: Starting with spring re-registration (April 1) you will go to our website, www.gsle.org, to the “Join the Girl Scout eBiz” link. Open the step-by-step instructions to learn how to Create Your Login. Once you are familiar with the steps, click on the link to open up the e-Biz site. You will enter your name and email address or member ID number to start the process. From here e-Biz will continue to “walk” you through the steps.
Q: Which browsers work with Personify e-Biz?
A: All up-to-date versions of the major browsers will work.
Q: Why does Personify e-Biz refer to members as customers rather than members?
A: All girls and adults (volunteers, parents/guardians, emergency contacts) who have records in Personify are customers. Only those who purchase a Girl Scout membership are members. In other words, Girl Scout members are a subset of all customers recorded in Personify e-Biz.
Q: Is a separate login required for each customer?
A: Yes. Each customer must have a unique user name and password to access her/his account, renew a membership, and in the future register for a program or training. The login is linked to the customer account. Only troop leaders with an approved 01 position code may see multiple members, only their troop members, through online troop management. Therefore, a parent/guardian of two Girl Scouts needs to have two separate logins to access each girl’s membership record or to renew each girl. A family email should have been provided and should be used to access their girl records.
Q: What payment methods are accepted for online membership registration?
A: Credit and debit cards are accepted including VISA, Mastercard, Discover, and American Express. The use of check, cash and financial assistance all require the use of paper registration forms.
Q: The site is not recognizing my email address so I can’t create my login. What do I do?
A: First, make certain you are using the email address that you provided to the Girl Scouts Louisiana East. This is the family email address that you noted on your prior registration form. No email address on file? No problem. Please contact us so that we may assist you. helpdesk@gsle.org or 800-644-7571 (M-F 8:30 a.m. – 4:30 p.m.)
Q: How are the emails in Personify e-Biz used?
A: The emails are used when a member initially creates their login for e-Biz. They should be maintained after that time as a means to allow troop leaders to communicate with parents/guardians via a family email. The email addresses may also be used by the service unit members to communicate important information to parents/guardians throughout the membership year. These email addresses may also be used by the council to confirm program or summer camp registrations. GSLE does not sell or distribute email addresses to third parties.
Leaders Questions
Q: What are the benefits of online registration for troop leaders?
A: Membership re-registration may be completed with ease by the troop leader or by the parent/guardian. Leaders will have instant access to see who is registered to her troop including those re-registered by the parent/guardian. Transfers may be completed as soon as members are re-registered and prior to the start of the new membership year. Your troop roster will be in place for the start of new membership year.
Note: Transfers must be sent to the council registrars by completing the Data Change Form.
Q: What are the benefits of online troop management for troop leaders?
A: Troop leaders will know who is currently registered in their troop and who is not. Leaders may email parents/guardians, print rosters and update member and meeting information from this page.
Q: Who has access to Personify e-Biz online troop management?
A: Access to online troop management is by troop. Only troop leaders with a 01 position code in the database for a specific troop will have access to online troop management for that troop. If a troop leader is leader for more than one troop, she must have a 01 position code on record for each troop to have access to online troop management for each of her troops.
Q: I am a troop leader, do I have to re-register myself online during spring re-registration or may I renew anytime?
A: Once you have created your login, as with any adult a leader may return to the e-Biz site at any time. You may re-register or update your account information (i.e. address, phone number, etc) as you wish. However, you will only be able to manage your troop members within the membership year you are a leader of record with the council. You will only be able to view your troop maintenance records once you re- register.
Q: Does the troop leader still need to send the registration forms with the parent signatures?
A: Depends. If a parent registers their daughter(s) online a registration form is not required. If a parent is paying by check, cash or requesting financial aid a paper registration form needs to be completed and submitted to the troop leader.
Q: I am a troop leader and plan to re-register the girls in my troop this fall rather than during spring re-registration time. Will I be able to do this?
A: Yes, but only up until September 30 at 12 a.m. as the current membership year draws to a close. Position codes for a given membership year expire at that time and troop leaders will no longer have visibility to their troop members once this takes place unless their position code is in place and approved for the new membership year.
Q: What is the minimum number of girls that a troop needs to register to be eligible for the Early Bird Troop Incentives?
A: Each troop that meets the minimum number of members re-registered by the May 31st deadline date will go into a drawing to receive a $50 or $100 gift card to use to purchase troop supplies at the council shop.
Minimum Registration*
- Girl Scout Daisies - 8 girls and one to two adults
- Girl Scout Brownies and Juniors – 10 girls and one to two adults
- Girl Scout Cadette, Senior and Ambassadors - 5 girls and one to two adults
Q: How do I get my updated troop meeting information to the council?
A: With the push of a button! At the top of the Troop Management screen, you will see your current membership year meeting information displayed. You may enter new information or simply update what is on record for the previous year.
Q: The phone number (address) for a girl on my roster is incorrect. How can I update them?
A: From Troop Management, click on the girl’s name from your troop list. From here you will see that you are managing the girl record. Make the desired changes and save.
New Members Questions
Q: I have registered my daughter as a new member online. What troop has she been placed in?
A: As a new member she likely has not been placed in a troop yet. As soon as we place her you will be notified. There is currently no way to view your daughter's troop online until placement and notification has been provided. Placement in a troop is not guaranteed. We welcome adults who would be willing to volunteer to lead a troop. This will take 7-10 business days.
Q: I just re-registered my daughter online, but the troop leader does not see her in her troop. Why?
A: You may have clicked on the Become a Member link and registered her as a new member instead of renewing her existing membership from My Account. If so, she was registered in the council record, not the troop. If you go to her My Account page and see the new membership expiration date this was the case. Please send an email to Helpdesk@gsle.org or 800-644-7571 (M-F 8:30 a.m. – 4:30 p.m.) with her name, address and family email and the duplicate record will be merged with her existing account.
Q: I just became a new member online. What can I expect now?
A: You can expect a call from one of our volunteers or staff and a welcome email initially. The welcome email will include information on the categories you have expressed interest in during registration. In the meantime, you can find additional information about Girl Scouting on our website, www.gsle.org
Q: My daughter was not placed in a troop. What can I expect now?
A: Girls have the freedom to choose among any of the Pathways: Camp, Travel, Series, Events or Troops in which to participate. Whether or not they are in a troop when they join Girl Scouting, they can participate in multiple Pathways within a membership year. Every new member will receive information via email and mail on the Girl Scout Pathways.
If you are joining Girl Scouts ONLY to be in a TROOP you may not be placed immediately. Unfortunately we do not always have enough screened adult volunteers to lead a troop in your area. We cannot guarantee troop placement.
Service Unit Members Questions
Q: What are the benefits of Personify e-Biz for Service Units?
A: By encouraging troop leaders within their units to use e-Biz, service units are ensured of timely and accurate data. Daily update of information is a major benefit of online registration. The only exception is with online registrations; these do have a one-day delay between when a member registers and their information is available. Troop leaders may then provide their service unit with timely updates and corrections. The council staff may also provide a service unit with more timely rosters as needed to perform their volunteer roles more effectively.
Q: What Position Codes should I report during my online re-registration in e-Biz?
A: You may report a code or multiple position codes from a drop down list. You will find that the Position Code selection is extensive so we have highlighted these as the primary codes for your reporting consideration:
- 01 - Leader/Advisor
- 02 - Assistant Leader/Advisor
- 03 - Troop Committee Member
- 11 - Service Unit Team Member
- 12 - Trainer
- 19 - Council Delegate
Q: Will SU Registrars be able to access the entire Service Unit membership?
A: As in the past, SU Registrars will have reports available to them to detail SU member detail. New with online re-registration, the troop leaders will be able to provide a printed roster for their troop. As in the past, SU Registrars may obtain a SU roster from Council staff upon request.
Q: What is the SU registrar role going to be in the future?
A: Various roles will be changing with the implementation of e-Biz. At start-up, responsibilities will encompass both paper and online registration processes.
Q: Will there be guidelines for the SU registrar? What reports will the SU registrars have available to them regarding online registration?
A: Yes, we have met with a number of SU registrars to assemble guidelines and a revised job description. We are recommending that the troop leaders provide a troop roster once memberships have been renewed. As well there will be reports available from the council for the SU registrar.
Q: Do the Service Unit Administrators receive notification of registrations as they occur?
A: SU registrars will provide a report to the SUA.
Q: Can SU Administrators access information for their Service Unit?
A: A view of a complete service unit is not part of the package that GSUSA has provided to the councils. As in the past, SUA and SU registrars may obtain SU rosters from the council staff.
Adult & Parent Questions
Q: Searching online in e-Biz for my three-digit or four-digit troop number, I see that there are multiple selections available as a result of the search. Why is that?
A: Remember that all troops now have a five-digit number. Your three or four digit number may be repeated elsewhere in the Council, but the first (two) digit will make your troop number unique to you. The first (two) number of any troop number represents your region (1, 2, 3, and 4): For example, troop 111 in Washington Parish would be 30111 or troop 1111 would be 31111.
Q: What credit cards may I use to pay for my purchases in eBiz?
A: American Express, Discover, Mastercard, and Visa are all acceptable credit and debit cards for payments. Payments are processed via Pay Pal. Checks cannot be processed through our online tool.
Q: May I use my Pay Pal account on e-Biz?
A: No, only the credit or debit cards shown above may be used.
Q: What if my credit card is declined?
A: First make certain that you have entered the correct information. You may try another credit or debit card. If your card is declined you might want to check with your bank to determine the reason use was declined.
Q: I forgot my username and password, what should I do?
A: When you first created your login you received a confirmation email with your username and password. If you saved this, please refer to this document. Next, you may also use the “Forgot Username?” or “Forgot Password?” links on the login page. This will allow you to set up a new password or view the username you set up initially. Note: email will be sent to the email address you provided. Otherwise, please contact our e-Biz hotline Helpdesk@gsle.org or call 800-644-7571 (M-F 8:30a.m. – 4:30p.m.). Any available registrar can be of assistance in creating a temporary password for you. After you login using this temporary password, be certain to create a new password on the My Account page.
Q: Do I have to re-register myself online during spring re-registration or may I renew anytime?
A: Once you have created your login, an adult may return to the e-Biz site at any time. You may reregister or update your account information (i.e. address, phone number, etc) as you wish.
Q: I am a member and so is my daughter(s), do I have to create a login for each of us?
A: Yes, you will have to create a separate login for each registered family member. You will also need to login for each member separately to re-register and update customer records such as contact information. Log in, as you would for yourself, using your daughter’s name and family email address. If you have difficulty creating their login, please contact your e-Biz hotline at Helpdesk@gsle.org or call 800-6447571 (M-F 8:30 a.m. – 4:30 p.m.).
